Volunteers Terms & Conditions

1. Introduction

These terms and conditions ("Terms") apply to all volunteers participating in [Funk n Bass 2025], held on [25-27 January 2025] at [Hindmarsh Valley Memorial Hall]. By registering as a volunteer, you agree to comply with these Terms.

2. Role and Responsibilities

  • Volunteers will perform the tasks assigned by the event organizers to the best of their abilities.

  • Roles may include, but are not limited to, gate, carpark, campsite management, assisting vendors, or supporting performers, setup & pack down. 

  • Volunteers must complete a minimum of 8 hours of work to earn their ticket. This can be split into 2 x 4 hour shifts. You are welcome to work more hours to help out at any stage. 

  • Volunteers must report on time and for the duration of their scheduled shifts.

3. Code of Conduct

  • Staff, Artists and Volunteers are expected to behave professionally and courteously at all times.

  • Consumption of alcohol or drugs while on duty is strictly prohibited.

  • Volunteers must respect fellow volunteers, attendees, stallholders, and staff.

4. Safety and Training

  • Volunteers must attend any training sessions as specified by the event organizers.

  • Safety protocols provided during the event must be adhered to at all times.

5. Liability and Insurance

  • Volunteers participate at their own risk. While Uber Zeal will take reasonable precautions to ensure safety, it is not liable for injuries, loss, or damages unless caused by the organizers’ negligence.

  • Volunteers are encouraged to have personal accident insurance if deemed necessary.

6. Cancellation and Termination

  • Volunteers who cannot fulfill their commitments must notify the event organizers as soon as possible.

  • Organizers reserve the right to terminate any volunteer’s participation for misconduct or breach of these Terms.

7. Confidentiality and Media

  • Volunteers must not disclose any confidential information about the event operations.

  • By participating, volunteers consent to their image being used in event promotions, including photos or videos.

8. Acknowledgment

By registering as a volunteer, you acknowledge and agree to these Terms and the Ticket terms & conditions where applicable including our Campsite Rules.

Vehicle Passes

Artists, staff and volunteers do not require a vehicle pass, however we do recommend carpooling and limiting the number of vehicles attending the site.

 

Entry Requirements

Entry is subject to festival rules and regulations. Management reserves the right to refuse entry to anyone not complying with these terms.

Personal Responsibility/Respect and Behavior

  • We encourage attendees to follow all festival guidelines, including safety protocols, carpooling encouragement, and waste disposal to help make our beautiful festival safe, clean and fun for everyone to enjoy.

  • Take care of yourselves, and each other. Festival organizers are not liable for any personal injury, theft, or loss during the event.

  • Be respectful to fellow attendees, festival staff, and security. Anti-social or aggressive behavior will result in removal from the event.

 

​Photography and Media

By attending the festival, you consent to being photographed or filmed for promotional purposes.

Compliance with Laws and Festival Rules

Attendees must comply with all local laws and festival regulations. Breach of these terms may result in removal from the event without refund

Emergencies

1. Report any medical emergencies or safety concerns to Security or staff immediately. 

2. Evacuation point is in the carpark behind the hall, in case of evacuation listen to instructions from our staff.

3.  Familiarize yourself with emergency procedures and locations of first aid points.

CAMPSITE RULES 

​Camping Access

  1. ​Volunteers can only access the campsite with a volunteer pass. Please camp in our crew campsite located next to the tennis court unless directed elsewhere by volunteers.

 

Strictly No Open Flames or Gas Cookers

  1. Open flames, including campfires, candles, and fire pits, are strictly prohibited.

  2. Gas cookers and portable stoves are NOT permitted under any circumstances.

 

Quiet Hours

  1. Quiet hours in the campsite are between 12:00 AM and 7:00 AM. Please respect your neighbours and keep noise to a minimum. If you want to be noisy during these times please stay in the festival grounds and enjoy the music and chill out areas provided.

Waste Management - LEAVE NO TRACE

  • Respect our land, take what you bring with you and leave the lands looking better than when we arrived.

  • All campers must use bins for waste disposal.

  • Pack out what you pack in and leave your site clean.

 

Prohibited Items

The following are not allowed in the campsite:

  • Glass containers

  • Fireworks

  • Gascookers

  • Weapons 

 

Respect and Behavior

Be respectful to fellow campers, festival staff, and security. Anti-social or aggressive behavior will result in removal from the event.

Security and Searches

Security personnel may conduct bag and vehicle searches upon entry to ensure safety.

​

Parking in Campsite Areas

Vehicles parked in camping zones must have a valid vehicle pass and must remain stationary throughout the festival.

 

Emergencies

Familiarize yourself with emergency procedures and locations of first aid points. Report any safety concerns to staff immediately.

Campsite Boundaries

Camp within your designated area only. Do not block roads or emergency access lanes.

BRINGING CHILDREN
​
Children Under 18

All attendees under the age of 18 must be accompanied by a responsible adult (parent or guardian) at all times.

Proof of age may be required upon entry.

Ticket Requirements

  • Children aged 12 and under can attend for free but must still register for a free child’s ticket.

  • Children aged 13-17 require a paid youth ticket at the gates to enter the festival, and must be accompanied by a parent or guardian.​

 

Camping with Children

  • Families camping with children will have priority to camp in spaces quieter and better suited for young attendees. Please let our volunteers know if you would like to camp with other families and we can direct you. 

  • We suggest arriving at the campsite as early as possible to secure the best spot for you and your little ones.

  • Children must remain under adult supervision at all times within the campsite and festival grounds.

  • If bottle warming is required, please ask one of our staff inside the hall to help.

 

Child Safety

  • Parents/guardians are responsible for ensuring their children’s safety during the event.

  • Ear protection is strongly recommended for younger children, particularly in loud areas near stages.

  • All children should have their parent/guardian’s contact details securely attached to them (e.g., on a wristband). If you can not arranage this, please ask our volunteers at the gate to help you.

Festival Environment

  • The festival is a family-friendly event; however, certain performances or activities may not be suitable for children. Parental discretion is advised.

  • Children are not permitted in restricted areas. 

  • ​

Amenities for Families

  • A family-friendly alcohol free zone is inside the hall. If you require a bottle to be warmed please ask our friendly staff at the chai kitchen.  

  • Strollers are welcome but should not block walkways or crowd high-traffic areas.

Noise and Safety Precautions

Camping areas and festival grounds can get loud, especially in the evenings. Please consider ear protection and appropriate sleeping arrangements for young children.

Lost Child Protocol

In the event of a lost child, immediately report to the nearest festival staff member or security point.

The hall is a family friendly zone and is good meeting point to let your little ones go if they get lost

Health and Emergencies

Parents/guardians are responsible for managing any medical or special needs for their children. First aid stations will be available on-site.

Respect for Other Attendees

Families with children are asked to be mindful of noise levels, especially in the camping areas during quiet hours.
